Quick verdict
- Best overall free plan
Zoho CRM — genuine automation, 3 free users, richer pipeline (see review)
- Simplest to set up
HubSpot Free CRM — no trial trap, working account in minutes (see review)
- Best automation if paying
Pipedrive — most capable automation builder, but no free-forever plan (see review)
We tested three CRMs hands-on for this list — not by reading spec sheets, but by actually signing up, importing contacts, building pipelines, moving deals to close, and trying to automate something in each one. Here's what held up and what didn't.

HubSpot Free CRM
HubSpot
7.7/10 · Evidence confidence: medium
- Starting paid price
- Starter, $20/mo/seat (running at $7/mo/seat on a limited-time promo, verified Sep 16, 2026)
- Free plan
- Yes
- Best for
- Simplest to set up — HubSpot Free CRM — no trial trap, working account in minutes (see review)
Pros
- Free tier includes real CRM functionality — pipeline, contacts, activities, no artificial time limit
- 1,000 contacts is a workable ceiling for an early-stage small business, and the limit is clearly surfaced in-app
Con
Automation (Workflows) is 100% paywalled — no free tier at all, not even a limited one
Best for: solo founders and small teams who want the simplest possible free CRM and don't need automation yet.
Signup goes straight into a working free account — no credit card, no trial clock. The core CRM (contacts, deals, a 5-stage pipeline, activity logging) is genuinely usable, not a crippled demo, and the free plan covers up to 1,000 contacts and 2 users. Marketing Emails is also free with ready-made templates.
The catch: Workflows are 100% locked on the free plan. Clicking automation redirects straight to an upgrade page for Sales Hub Professional — there's no free tier of automation at all, not even one rule. Export is unrestricted, which is a genuine plus if you ever want to leave.
Pros
- ✓Fastest, simplest signup of the three tools
- ✓Genuinely usable free CRM, not a demo
- ✓Free data export, no lock-in
Cons
- ×Zero free automation of any kind
- ×Only 2 free users
- ×USD-only defaults regardless of your location

Zoho CRM Free Edition
Zoho CRM
7.5/10 · Evidence confidence: medium
- Starting paid price
- Standard, $14/user/month billed annually (~$20/month billed monthly), verified Sep 17, 2026
- Free plan
- Yes
- Best for
- Best overall free plan — Zoho CRM — genuine automation, 3 free users, richer pipeline (see review)
Pros
- Workflow Rules — real automation — work on the free plan: up to 5 active rules with instant actions (create a task, send an email)
- Detailed Stage History audit trail on every deal, richer than HubSpot's free-tier activity log
Con
Scheduled/time-delayed automation actions require upgrading to Standard — only instant actions are free
Best for: small teams that want real automation without paying, and don't mind an extra setup step to reach the actual free plan.
Zoho's free tier is the most capable of the three we tested — but getting to it takes effort. The default signup enrolls you in a 15-day Enterprise trial, not the Free Edition; you have to manually switch ("Try Other Editions" → "Switch to Free edition") to see the real free plan. Once there, it holds up well: 3 free users, a 7-stage default pipeline, and a genuinely detailed Stage History audit trail on every deal.
The standout: Zoho's free plan includes up to 5 active Workflow Rules with instant actions (create a task, send an email) — we built and saved one during testing with zero upgrade prompts. The one limit is scheduled/time-delayed actions, which need the Standard tier. Zoho also detected our location and set currency/timezone accordingly, unlike HubSpot's USD-only defaults.
Pros
- ✓Real automation on the free plan — 5 active rules
- ✓3 free users, one more than HubSpot
- ✓Locale-aware currency and timezone
- ✓Richer stage-history audit trail
Cons
- ×Signup defaults to a paid trial, not the free plan
- ×We hit one 40+ second loading stall after switching plans
- ×Deal creation requires linking an Account, an extra step

Pipedrive
Pipedrive
7.8/10 · Evidence confidence: medium
- Starting paid price
- Essential/Lite, roughly $12.50-14.90/user/month billed annually (verified Sep 20, 2026)
- Free plan
- No
- Best for
- Best automation if paying — Pipedrive — most capable automation builder, but no free-forever plan (see review)
Pros
- The most capable automation builder of the three CRMs tested — conditions, wait steps, and actions, no upgrade prompt hit during the trial
- Richest deal record: WhatsApp tab, meeting scheduler, and a proper post-sale onboarding pipeline included by default
Con
No free-forever plan at all — this is the single biggest difference from HubSpot and Zoho
Best for: teams seriously evaluating a paid, automation-heavy CRM who are ready to budget for a subscription — not for anyone wanting a permanent free tool.
The most important fact about Pipedrive: it has no free-forever plan at all. Only HubSpot and Zoho let you stay on $0 indefinitely. Pipedrive offers a full-featured 14-day trial (Premium tier, no credit card required) and then requires a paid subscription.
To be fair, the trial itself is excellent — during testing we got a 6-stage pipeline (plus a second pre-built onboarding pipeline), a genuinely rich deal record with a built-in WhatsApp tab, and the most capable automation builder of the three tools: a real visual flow with conditions, wait steps, and actions, allowing up to 150 active automations during the trial. We built and activated one without hitting any paywall.
Pros
- ✓Most capable automation builder tested — conditions, wait steps, actions
- ✓Richest deal record: WhatsApp, meeting scheduler, onboarding pipeline included
- ✓Account starts empty — no fake demo data
Cons
- ×No free-forever plan — the trial always ends
- ×Everything tested was Premium-tier trial access, not the cheapest paid plan
- ×At ~$64/user/month, Premium is the priciest tier we checked

How we tested
Every tool on this list was tested the same way, not just read about: we signed up for the real account, imported contacts, built a pipeline with real stages, moved a deal through to close, logged calls/notes/tasks, and attempted to build an automation. Screenshots, exact plans tested, and pricing verification dates are documented on each individual review — see our How We Test page for the full methodology and scoring approach.
Which should you choose?
You want the absolute simplest $0 CRM and don't care about automation: HubSpot Free.
You want free automation and don't mind one extra setup step: Zoho's Free Edition — just remember to switch off the default trial.
You're past the free-tier stage and want the best automation money can buy: Pipedrive, once you're ready to pay — use the 14-day trial deliberately to test it before committing.
You're still not sure a CRM is worth the switch at all: start with what a CRM actually does and when a spreadsheet stops being enough before picking a tool.
You want the full cost picture before choosing: see our realistic CRM budgeting guide.
Frequently asked questions
Between the tools we tested, Zoho's free plan is the strongest all-around option: real automation (5 active rules), 3 free users, and a 7-stage default pipeline. HubSpot's free plan is a close second — simpler to set up, but with zero free automation. Pipedrive has no permanent free plan at all, only a 14-day trial.
For a solo founder or a team of 2-3 without automation needs, the free tiers we tested genuinely hold up — they're not crippled demos. Automation and team size are what usually force an upgrade, not core CRM functionality like contacts and pipelines.
HubSpot, in our testing. Signup goes straight to a working free account with no trial trap and no credit card. Zoho and Pipedrive both add friction — Zoho defaults new signups to an Enterprise trial, and Pipedrive has no free plan to default to at all.
Test one seriously rather than three superficially. Import your real contacts, build your actual pipeline stages, and use it for a real week before judging — comparing empty demo accounts side by side tells you less than it feels like it does.
