Best CRM for Real Estate Agents & Small Agencies (2026)
BestMuzamal Ali · Updated · 3 min read
Quick verdict
- Best for solo agents on a budget
Zoho CRM Free Edition — genuinely free forever, once you switch off the default trial (see full review)
- Best if marketing matters as much as pipeline
HubSpot Free CRM — email + landing pages bundled free (see full review)
- Best for pure pipeline speed, if paying
Pipedrive — no free-forever plan, but built for a fast-moving deal pipeline (see full review)
A note on how this article was built: the ratings and pros/cons below come from our own full hands-on reviews of these three tools' core CRM functionality (linked in each section) — we did not separately hands-on test each vendor's real estate-specific marketplace app or industry template. Where we reference a vendor's real estate positioning, that's their own published material, cited as such, not our own testing.
What real estate agents actually need from a CRM
Property sales don't look like typical B2B sales, and it's worth being specific about what actually matters before picking a tool:
- A pipeline that matches your listing/showing/closing stages, not a generic "lead → deal → won" flow. All three tools let you customize pipeline stage names — none of them ship a real-estate-specific pipeline out of the box on the free tier.
- High contact volume tolerance. Agents often carry hundreds of leads (buyers, sellers, past clients) even at a solo level — this is where free-plan contact caps bite fastest. Check the exact cap in each tool's full review before assuming "free" covers your list size.
- Mobile-first usage. Agents are rarely at a desk. All three have mobile apps; how well each one handles quick contact lookup and note-taking on the go is worth testing yourself against your actual routine before committing.
- Marketing tied to listings, not just contact management — this is HubSpot's structural advantage on the free tier, since email/landing-page tools are bundled with the CRM rather than a separate purchase.
HubSpot — best if marketing matters as much as pipeline
HubSpot
7.7/10 · Evidence confidence: medium
- Starting paid price
- Starter, $20/mo/seat (running at $7/mo/seat on a limited-time promo, verified Sep 16, 2026)

- Best for
- Best if marketing matters as much as pipeline — HubSpot Free CRM — email + landing pages bundled free (see full review)
Pros
- Free tier includes real CRM functionality — pipeline, contacts, activities, no artificial time limit
- 1,000 contacts is a workable ceiling for an early-stage small business, and the limit is clearly surfaced in-app
Con
Automation (Workflows) is 100% paywalled — no free tier at all, not even a limited one
HubSpot's free CRM (rated 7.7/10 in our hands-on review) bundles basic email marketing and landing pages alongside contact and deal tracking, which is useful if you're sending regular listing updates to a buyer list rather than just tracking one-to-one deals. The free tier's limits and upgrade-pressure points are the same ones we documented in the full review — they don't change for real estate use specifically. HubSpot's own real estate page markets templates and workflows aimed at agencies, but we haven't independently tested those industry-specific add-ons.

Zoho CRM — best budget option once you're actually on the free edition
Zoho CRM
7.5/10 · Evidence confidence: medium
- Starting paid price
- Standard, $14/user/month billed annually (~$20/month billed monthly), verified Sep 17, 2026
- Free plan
- Yes
- Best for
- Best for solo agents on a budget — Zoho CRM Free Edition — genuinely free forever, once you switch off the default trial (see full review)
Pros
- Workflow Rules — real automation — work on the free plan: up to 5 active rules with instant actions (create a task, send an email)
- Detailed Stage History audit trail on every deal, richer than HubSpot's free-tier activity log
Con
Scheduled/time-delayed automation actions require upgrading to Standard — only instant actions are free
Zoho CRM (rated 7.5/10 in our hands-on review) is the cheapest way to get a real CRM pipeline running, provided you deliberately switch off the default Enterprise trial to the actual Free edition — a step we found easy to miss during signup. Zoho's marketplace has real-estate-specific add-on apps built by third parties; we have not tested these, so treat them as a "worth investigating" pointer rather than a recommendation.

Pipedrive — best if you live in the deal pipeline day-to-day
Pipedrive
7.8/10 · Evidence confidence: medium
- Starting paid price
- Essential/Lite, roughly $12.50-14.90/user/month billed annually (verified Sep 20, 2026)
- Free plan
- No
- Best for
- Best for pure pipeline speed, if paying — Pipedrive — no free-forever plan, but built for a fast-moving deal pipeline (see full review)
Pros
- The most capable automation builder of the three CRMs tested — conditions, wait steps, and actions, no upgrade prompt hit during the trial
- Richest deal record: WhatsApp tab, meeting scheduler, and a proper post-sale onboarding pipeline included by default
Con
No free-forever plan at all — this is the single biggest difference from HubSpot and Zoho
Pipedrive (rated 7.8/10 in our hands-on review) is built around a visual, drag-and-drop deal pipeline, which maps naturally onto a listing-to-close workflow. The catch we've been explicit about since our full review: there is no free-forever plan, only a 14-day trial before you're paying. If budget is the deciding factor, this rules Pipedrive out regardless of how well it fits the workflow. Pipedrive has a dedicated commercial real estate industry page of its own.

Which to choose by scenario
- Solo agent, tight budget, need it free long-term: Zoho CRM (Free edition).
- Small agency (2-5 agents) wanting marketing + CRM in one free tool: HubSpot.
- Agent or team focused purely on a fast-moving pipeline, willing to pay: Pipedrive.
- Larger brokerage with dedicated real estate workflows: worth evaluating a purpose-built real estate CRM (outside the scope of this comparison) against these general-purpose tools' marketplace add-ons.
Frequently asked questions
Dedicated real estate CRMs exist and may offer deeper listing-specific features out of the box. This article compares general-purpose CRMs we've already hands-on tested; we haven't yet tested dedicated real estate platforms and won't claim a verdict on that comparison until we have.
Check the exact current limits in each tool's full review — free-plan contact/user caps change and are covered in more detail there than we're repeating here.
No — marketplace or third-party apps install on top of the core CRM plan you're already on (free or paid); they don't replace the base subscription.
That's a real-estate-specific integration question outside what we tested in our core CRM reviews — check each vendor's current integration/marketplace listing directly before assuming support.
