Best Free CRM Software (Actually Tested, 2026)

Quick verdict
- Best overall
Zoho CRM Free Edition — real automation, 3 free users
- Simplest to use
HubSpot Free CRM — no trial trap, fastest signup
- Didn't qualify
Pipedrive — no free-forever plan, trial only (see why below)
"Free CRM" lists are usually padded with tools that are free-trial, not free-forever — you don't find out until you've already imported your contacts. We tested every tool on this list hands-on and checked the billing page directly before including anything. Two tools qualified as genuinely free forever. One popular tool didn't, and we're explaining why instead of quietly leaving it off.
1. Zoho CRM Free Edition — best overall
1. Zoho CRM
7.5/10 · Evidence confidence: medium
- Starting paid price
- Standard, $14/user/month billed annually (~$20/month billed monthly), verified Sep 17, 2026
- Free plan
- Yes
- Best for
- Best overall — Zoho CRM Free Edition — real automation, 3 free users
Pros
- Workflow Rules — real automation — work on the free plan: up to 5 active rules with instant actions (create a task, send an email)
- Detailed Stage History audit trail on every deal, richer than HubSpot's free-tier activity log
Con
Scheduled/time-delayed automation actions require upgrading to Standard — only instant actions are free
Zoho's free tier is the strongest of the two that qualified, but reaching it takes an extra step: the default signup enrolls you in a 15-day Enterprise trial, not the Free Edition. You have to manually switch (account menu → "Try Other Editions" → "Switch to Free edition") to reach the plan that's actually free forever.
Once there, it's a genuinely capable free CRM: 3 free users (one more than HubSpot), a 7-stage default pipeline, and — the standout — up to 5 active Workflow Rules with instant automation actions, which we built and saved during testing with zero upgrade prompts. It also detected our location and set currency/timezone automatically.
- Free plan: $0/mo, 3 users, 1,000 contacts per import
- Automation: 5 active rules (instant actions only; scheduled actions need Standard)
- Watch for: the trial-by-default signup — don't judge the free plan until you've actually switched to it

2. HubSpot Free CRM — simplest to use
2. HubSpot
7.7/10 · Evidence confidence: medium
- Starting paid price
- Starter, $20/mo/seat (running at $7/mo/seat on a limited-time promo, verified Sep 16, 2026)
- Free plan
- Yes
- Best for
- Simplest to use — HubSpot Free CRM — no trial trap, fastest signup
Pros
- Free tier includes real CRM functionality — pipeline, contacts, activities, no artificial time limit
- 1,000 contacts is a workable ceiling for an early-stage small business, and the limit is clearly surfaced in-app
Con
Automation (Workflows) is 100% paywalled — no free tier at all, not even a limited one
HubSpot's free plan is the easier of the two to actually start using: signup goes straight into a working account, no credit card, no trial clock to accidentally run out. Contacts, a 5-stage pipeline, and activity logging all work well, and data export is unrestricted if you ever want to leave.
The trade-off is automation: Workflows are 100% locked on the free plan, with no free tier at all — clicking it redirects straight to an upgrade page. If automation isn't a priority yet, that's an easy trade to accept for the simpler signup.
- Free plan: $0/mo, 2 users, 1,000 contacts
- Automation: none — fully paid-only
- Watch for: the 2-user cap makes this stop working as a team tool quickly

Why Pipedrive isn't on this list
We tested Pipedrive too, and it's genuinely capable — the most powerful automation builder of the three tools we've reviewed, with up to 150 active automations available during testing. But it has no permanent free plan. Signing up gets you a 14-day trial of the Premium tier; after that, a subscription is required. That fails the basic bar for "free CRM," so it doesn't belong on a list like this one, however good the trial is. If you're past the free-tier stage and evaluating paid tools, it's worth a look — see our Pipedrive review for the full picture.
How to tell if a "free" CRM is really free
A pattern showed up repeatedly in our testing that's worth generalizing: the marketing page and the actual signup flow don't always agree. Before trusting any "free" claim:
- Go through the signup yourself rather than reading the pricing page — Zoho's own signup defaults to a paid trial
- Look for an explicit, visible way to downgrade to a permanent free tier from inside the account settings
- Check whether a credit card is required — a genuine free-forever plan shouldn't need one
- Search the account's own billing page, not just the homepage, for words like "trial" versus "free forever"
Which should you pick?
Want the most capable free plan and don't mind one extra setup step: Zoho.
Want the simplest possible signup and don't need automation: HubSpot.
Already past the free-tier stage and want the strongest automation, if you're ready to pay: Pipedrive, once you've priced it out — see our full CRM cost breakdown.
Want the complete side-by-side on all three tools, including paid tiers: see our Best CRM Software for Small Businesses pillar comparison.
Frequently asked questions
Between the two genuinely free-forever options we tested, Zoho edges ahead for most small teams because it includes real automation (5 active rules) and one extra free user. HubSpot wins on simplicity — faster signup, no trial trap — if you don't need automation yet.
Because it doesn't have a free-forever plan. Pipedrive only offers a 14-day trial of its Premium tier — after that, you must pay. It's a strong tool, but it fails the basic qualifying bar for a 'best free CRM' list. See our full Pipedrive review for what the trial includes.
Check the signup flow itself, not just the marketing page. In our testing, Zoho's signup defaulted to a 15-day Enterprise trial rather than its Free Edition, and Pipedrive's only had a time-limited trial at all. Look for explicit language like 'free forever' or 'no credit card, cancel anytime' versus 'free trial,' and check whether there's a visible way to downgrade to a permanent free tier from inside the account.
For a solo founder or a 2-3 person team without automation needs, both free plans we tested held up as real software, not limited demos. The two things that force an upgrade are team size and automation — not core features like contacts, pipelines, or activity logging.
